WhatsApp appointment booking for salons, spas and clinics: a simple playbook

How salons, spas and clinics can take bookings on WhatsApp 24/7 with the right staff, no double-booking, and reminders that cut no-shows.

Most salon and clinic bookings already happen on WhatsApp. The problem isn't the channel, it's the back-and-forth. "Is 5 free?" "No, 6?" "With Anu?" "She's off Tuesdays." Five messages for one booking, while you're with a client.

Here's a simple way to let customers book themselves on chat, with fewer no-shows.

1. Put your real calendar behind the chat

A booking assistant is only as good as its calendar. Before anything else, write down:

  • Services, with how long each takes and the price.
  • Who does what. Not every stylist does colour; not every doctor sees children.
  • Hours, for the business and for each person, plus time off.

When the agent knows all three, "Can I get a haircut with Anu tomorrow evening?" becomes one answer with real free times, not a guess.

2. Let the customer pick, then confirm in one message

A good booking chat looks like this:

  1. The customer asks in their own words, in any language, even as a voice note.
  2. The agent offers two or three free times as buttons.
  3. The customer taps one.
  4. The agent books it and confirms: service, person, date, time, price.

No forms, no links to another app. With Agent24, the agent does exactly this from your Bookings setup (see Appointments, classes and memberships).

3. Never double-book

Two customers asking for the same 6 pm slot at the same moment is not rare on a busy evening. The slot must be checked at the moment of booking, not when the times were shown. Agent24 checks and books in one step, so the second customer is offered another time instead of a clash.

4. Remind people the day before

No-shows hurt small businesses most. A reminder about 24 hours before, with Confirm and Cancel buttons, does two things:

  • Most people tap Confirm, which is a commitment.
  • People who can't come tap Cancel, and the slot is free again for someone else.

This is one of the simplest changes with a visible effect on an empty chair.

5. Take an advance when it matters

For long or expensive services, ask for an advance. The agent can send a payment link from your own Razorpay or Stripe account right after booking, and the booking is confirmed when it's paid. See Payment links and reminders.

6. Keep the human moments human

Some messages are not bookings: a reaction to a treatment, a complaint about a haircut, a medical question. Set rules so the agent hands these to you straight away. For clinics, add a rule that the agent never gives medical advice; the guided start asks you about this.

Classes and packages

Yoga studios, tuition centres and gyms sell seats and packages, not single slots. Give a service a capacity and fixed start times, and sell memberships like "10 classes in 60 days". The agent counts seats and uses the customer's membership while sessions last.

Checklist

  • Services, staff, hours and time off are set.
  • The agent offers times as buttons and confirms in one message.
  • Reminders go out the day before with Confirm and Cancel.
  • Advance payment for long services.
  • Rules for complaints and medical questions.

Set that up once, and bookings keep coming in while you work, and while you sleep.
