"WhatsApp Business" means two different things, and the difference matters as soon as you want automation.
The WhatsApp Business app
The green app with the "B" on your phone. It's free and made for one person or a small team answering by hand.
- Business profile, catalogue, labels, quick replies.
- A simple away message and greeting message.
- Works on your phone and a few linked devices.
What it can't do: let software reply for you. There is no official way to connect an AI agent, a CRM or a booking system to the app.
The WhatsApp Business Platform
Often called "the API" or "the Cloud API". It's the same WhatsApp for your customers, but your messages are sent and received by software instead of the phone app. This is how banks and airlines run automated replies, and now small businesses can too.
- An AI agent can answer every message, at any hour.
- Many team members can answer from one shared inbox.
- Messages connect to your CRM, bookings, orders and payments.
- Interactive messages: buttons, lists, product cards, images.
You use it through a provider that Meta has approved, so you don't need to write code.
Side by side
| Business app | Business Platform | |
|---|---|---|
| Who answers | You, by hand | Software, your team, or both |
| AI agent and CRM | No | Yes |
| Team inbox | A few linked devices | As many members as you need |
| Buttons, lists, product cards | Limited | Yes |
| Starting a chat after 24 hours | Any time | Only with approved templates |
| Cost | Free | Meta's rates for template messages, plus your provider |
The 24-hour window and templates
This is the one rule to understand on the Platform. When a customer messages you, a 24-hour window opens. Inside it you can reply freely. After it closes, you can only start a conversation with a message template that Meta has approved: a booking reminder, an order update, a back-in-stock alert.
A good provider handles this for you. Agent24, for example, creates the templates it needs in your account, sends a normal message when the window is open, and the approved template when it isn't. If neither is possible, it tells your team instead of failing silently.
Can I keep my number?
Yes. You can move the number you already use to the Platform, so customers keep messaging the same number. A number works with one app at a time, so plan the switch for a quiet hour and read the connect screen first.
When to switch
Stay on the app if you get a handful of messages a day and enjoy answering them yourself.
Move to the Platform when:
- Messages arrive faster than you can answer, or after hours.
- You take bookings or orders on chat and lose track of them.
- More than one or two people need to answer.
- You want reminders and payment links to go out on their own.
Try it before you switch
You don't have to move your number to see what an AI agent would do. On Agent24's free plan, your agent answers on your own website chat first. Teach it, test it, and connect WhatsApp only when you're happy with the answers.
