How to automate WhatsApp replies for a small business (without sounding like a robot)

A practical guide to answering WhatsApp customers 24/7 with AI: what to automate, what to keep human, and how to set it up in an afternoon.

If your business runs on WhatsApp, you know the pattern. The same five questions arrive all day: price, timings, location, availability, "is it in stock?". The important messages, the ones that turn into a sale, get buried under them. And the messages that arrive at 11 pm get answered the next morning, after the customer has already asked someone else.

Automating replies fixes this, but only if it's done well. Here's how to do it without annoying your customers.

What to automate first

Start with the questions that have a clear, written-down answer:

  • Prices and what's included. "How much is a facial?" "Do you deliver to Kakkanad?"
  • Hours, location and directions.
  • Availability. A free slot, a free room, whether a size is in stock.
  • Booking and ordering, when the answer depends on your real calendar or stock, not on a guess.
  • "Where is my order?" and other status questions.

These are most of the messages a small business gets, and an AI agent can answer all of them instantly, in the customer's language, at any hour.

What to keep human

Some chats need a person. A good setup hands them over instead of trying to be clever:

  • An upset or angry customer.
  • Refunds, complaints and anything about money already paid.
  • Bulk or custom deals you negotiate yourself.
  • Anything the agent doesn't know for sure.

The rule is simple: the AI should never invent an answer. When it doesn't know, it should say a person will reply, and tell your team right away.

Old way vs. AI agent

Old auto-replies ("Press 1 for prices") feel like a phone menu. Customers skip them. An AI agent reads the actual message and answers it.

How to set it up in an afternoon

  1. Write down what you know. Your price list, menu or brochure as it is, your hours, your policies on cancellations and delivery. A PDF or a photo is fine.
  2. Describe your business in a few lines, the way you'd explain it to a new staff member.
  3. Add rules. What must it always ask (the pincode before quoting delivery)? What must it never promise? When must it hand over?
  4. Test it like a customer. Ask the awkward questions. Ask in Malayalam or Hindi. Send a voice note. Fix what's wrong by teaching it, not by scripting it.
  5. Connect your number through the official WhatsApp Business Platform, and watch the first real chats closely for a few days.

With Agent24, steps 1 to 4 take about five minutes on the free plan, on your own website chat, before you connect WhatsApp. See Getting started.

Make it sound like you

Customers notice when replies feel generic. Two things help most:

  • Your tone. Give the agent an example of how you actually talk to customers: your greetings, your mix of languages, whether you use emoji. Agent24 can learn this from an exported WhatsApp chat (see Teach your agent).
  • Your facts. Specific answers ("₹350, takes 45 minutes, Priya is free at 6") beat vague ones ("Please contact us for pricing").

Watch the right numbers

After the first week, look at:

  • How many chats the agent handled fully, and how many it handed over.
  • Which questions it couldn't answer. Each one is something to teach it.
  • How many bookings or orders came in outside your opening hours.

That last one is usually the surprise. For many businesses, the evening and night messages are where the missed sales were.

The short version

Automate the repeat questions and the bookings. Keep people for the hard conversations. Teach the agent your facts and your tone, and never let it guess. Done that way, customers get faster answers, and you get your evenings back.
